Terms and Conditions: Open to all participants aged 18+. One entry per person. All participants must have their badge scanned by our team members on our exhibition stand and must be willing to provide their full name and contact details when entering the competition. The winner will be drawn at random and will win a Luxury Hamper valued at £190 RRP per day. The winner will be notified by email/mobile number. The winner will have 7 days from the announcement email to claim their prize. Failure to respond or failure to meet the requirements may result in forfeiture of the prize and a new winner re-drawn.

Virtual Spin the Wheel Competition:

The Promoter of this competition is PortmanDentex, exhibiting at the British Dental Conference and Dentistry Show 2025 (the “Event”). Open to all participants aged 18+. One entry per person. Only one spin per person is permitted per day. There is no entry fee and no purchase necessary to enter this Competition. All participants must be willing to provide their full name and contact details when entering the competition. To participate, eligible individuals must provide their email address/contact information and they must visit the PortmanDentex stand during the Event and press the red button to activate the virtual Spin the Wheel. Participation in the Spin the Wheel activity does not guarantee that a prize will be won. The outcome of each spin is random, and not all participants will receive a prize.

To enter, all participants must complete and submit the feedback form that they receive in the post event email communication sent on the 4th March 2025. All participants must be willing to provide full name and contact details. One of the names registered will be randomly selected as the winner of the voucher valued to £30 (the prize). The winner will be contacted by the email provided in their registration within 14 days of the closing date, whereupon an email address for delivery of the prize will be requested. British Orthodontic Conference 2024 – Buzz wire game: Secret Escapes Voucher and Additional Prizes

How to play.

Open to all participants aged 18+. One entry per person. Participants must provide an email address for contacting purposes. Participants must play and complete the buzz wire game on the PortmanDentex stand in the fastest time without buzzing the wire. There is a maximum of 3 buzzes per entry or you’re out. If you buzz the wire, you must start from the beginning again. Participants must be willing to provide their full name and contact details when entering the competition. The winner is the participant who completes the buzz wire game in the fastest time and the participant whose name is in 1st position by the end of each day will win a Secret Escapes gift voucher valued at £250 RRP (the Main Prize). In the event a participant cheats or breaks the rules, PortmanDentex reserves the right to withdraw their entry from the game.

Main Prize.

The Main Prize for the Buzz wire game is a £250 Secret Escapes voucher. There will be one voucher per day so a total of 2 vouchers for the entire British Orthodontic Conference. For a participant to win this voucher, they must complete the buzz wire game in the fastest time without buzzing the buzz wire.

The overall winner per day will be notified via their given email address and the secret escapes voucher will be sent to the email address provided.

Additional Prizes.

If a participant features in the top 5 on the leaderboard at any one time or if they get over the halfway point without buzzing, they will win PortmanDentex branded merch (one item per person) which is subject to stock and availability. The additional prizes are divided into tiers:

1. BOOKING

1.1. Booking requests may be made through our website, or via a third party provider, Eventbrite.

1.2. After making a booking request, you will receive an email from us (or via Eventbrite) acknowledging that we have received your booking request. Please note, your booking is not confirmed until you have received email confirmation from us, and full payment has been received for your booking (if applicable).

1.3. If we cannot accept your booking for any reason, we will let you know by email and refund any payment made. All places on Events are available on a first-come, first-served basis.

1.4. You are responsible for ensuring that the information you provide to us during the booking process is complete and accurate and that you update us from time to time of any necessary changes to the information provided.

1.6. If we need to contact you regarding your booking, we will do so using the contact details you have submitted as part of your booking request.

2. BOOKING FEE

2.1. Certain Events will require payment of a fee. The relevant fee will be indicated during the booking process, or as promoted in any marketing materials (the “Fee”).

2.2. Payment of the Fee should be made by electronic payment via Eventbrite, at the time of making the booking. Further details on how Eventbrite process payments can be found on their website (Legal Terms | Eventbrite) https://www.eventbrite.com/l/legalterms/.

2.3. If you are an affiliate of Portman Healthcare Limited or Dentex Healthcare Group Limited, you may be entitled to a discounted Fee. This will be made clear at the time of making your booking request. You must present valid proof of affiliation in order to be eligible for the discounted Fee, and failure to do so will result in you being liable for the remaining balance of the full Fee.

2.4. A maximum of two discount codes can be applied simultaneously to a booking request / ticket purchase.

3. THE EVENT

3.1. It is your responsibility to comply with all instructions given before or during the Event and to comply with all applicable laws, including health and safety laws, fire regulations and any codes of conduct.

3.2. We reserve the right to amend the programme of the Event at any time, and will use all reasonable endeavours to notify you of any such amendment in advance.

3.3. Some of our courses carry CPD hours. You will be awarded a CPD certificate upon full completion of a course, and after completion of a feedback form.

4. CANCELLATION AND REFUNDS

4.1. If you are unable to attend the Event, a substitute delegate is welcome to attend in your place, provided they meet the criteria for the intended audience. Please email us at [email protected]. to let us know if you would like to do this. Please note that if you have paid a discounted Fee in accordance with Clause 2.3, but your substitute delegate is not entitled to the same discounted Fee, you will be liable for the remaining balance of the full Fee.

4.2. If you would like to cancel your booking, please notify us in writing by email at [email protected] (mailto:[email protected]). You will be entitled to a refund of:

4.2.1. 75% of the Fee if notice of cancellation is given at least 60 days prior to the Event;

4.2.2. 25% of the Fee if notice of cancellation is given at least 30 days prior to the Event;

4.2.3. 0% of the Fee if notice of cancellation is given within 30 days of the Event.

Please note that if the discounted Fee has been paid, references to the Fee in this clause mean the discounted Fee. Refunds will be issued via the same method used for payment of the Fee.

4.3. We shall use all reasonable endeavours to deliver our Events, but we reserve the right to delay or cancel the Event for any reason. If the Event is delayed or cancelled for reasons outside our reasonable control, no refund of the Fee will be given. This includes for example (without limitation) any of the following reasons:

4.3.1. Acts of God, flood, drought, earthquake or other natural disaster;

4.3.2. Epidemic or pandemic;

4.3.3. Strikes or industrial action;

4.3.4. Riot, terrorist attack or threat of terrorist attack, or war;

4.3.5. Impossibility of the use of railways, shipping, aircraft, motor transport or other means of public or private transport; and

4.3.6. The acts, legislation, regulations or restrictions of any government.

If the Event is cancelled for reasons within our control, we will refund the Fee but will not be liable for any expenses incurred by you in making arrangements to attend the Event.

5. PHOTOGRAPHS AND RECORDINGS OF THE EVENT

5.1. At our Events, we may do any of the following:

5.1.1. Take photographs of the Event;

5.1.2. Record audio output from the Event;

5.1.3. Video record the Event; and / or

5.1.4. Live stream the Event.

5.2. Any photos or recordings may be used for marketing or publicity purposes in the future. Your attendance at the Event may mean you are featured in such photos or recordings. By submitting a booking request, you consent to the above. If you do not wish to be included in any photos or recordings, please contact: [email protected].

6. DATA PROTECTION

6.2. By making a booking for the Event, you consent to the personal data submitted through our booking system to be used for the following purposes:

6.2.1. administer the Event efficiently;

6.2.2. contact you with important updates about the Event;

6.2.3. ensure your accessibility and / or dietary requirements are accommodated; and

6.2.4. process your booking Fee.

6.3. When making a booking request, we will ask for your consent to store and use your personal data for marketing purposes. For example, to share certain offers or promotions that may be of interest to you, or provide you with news and information about us. You have the right to withdraw consent to marketing at any time by contacting us at [email protected] (mailto:[email protected]). If you choose not to provide your consent for us to use your data in this way, we will not send you any marketing communications and your data will be solely used for the purposes as detailed in Clause 6.2 above.

6.4. We may authorise a third party to process your data for the purposes of delivering the Event only. We will only ever give your personal data to third parties where the law either requires us or allows us to do so.

7. LIMITATION OF LIABILITY

7.1. To the extent permitted by law, we exclude all conditions, warranties, representations, or other terms which may apply to the Event booking, whether express or implied.

7.2. We will not be liable to you, or any other person making a booking or attending an Event in your place, for any loss or damage, whether in contract, tort (including negligence), breach of statutory duty, or otherwise, even if foreseeable, arising under or in connection with:

7.2.1. Cancellation, including any expenses incurred by you in arranging attendance at an Event (subject to Clause 4);

7.2.2. Damage to, or loss of, personal belongings;

7.2.3. Loss of profit, sales, business or revenue;

7.2.4. Loss of anticipated savings;

7.2.5. Business interruption;

7.2.6. Loss of business opportunity, goodwill or reputation; and / or

7.2.7. Any indirect or consequential loss or damage.

7.3. Subject to other provisions in this Clause 7, our total liability to you, whether in contact, tort (including negligence), breach of statutory duty or otherwise, arising under or in connection with these Terms shall be limited to the total Fee paid by you in respect of the Event booking.

7.4. Nothing in these Terms shall limit or exclude our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation or any other matter for which it would be unlawful to exclude or restrict liability.

8. INTELLECTUAL PROPERTY

8.1. All copyright and other intellectual property rights in materials provided to you during or for the purposes of any of our Events are either our property, or the property of our speakers. You may use such materials only for your own personal use and not for any commercial use.

9. MISCELLANEOUS

9.1. No term of any contract between us arising from these Terms is intended to confer a benefit upon or be enforceable by any third party whether under the Contracts (Rights of Third Parties Act) 1999 or otherwise.

9.2. If a court or other authority decides that some of these Terms are unlawful, the rest will continue to apply.

9.3. These Terms constitutes the entire agreement between you and us and supersedes and extinguishes all previous agreements, promises, assurances, warranties, representations and understandings between you and us, whether written or oral, relating to its subject matter.

9.4. These Terms are governed by and construed in accordance with the laws of England and you agree to accept the exclusive jurisdiction of the English courts in relation to any dispute that may arise in connection with these Terms.
